Reservations

Your room is reserved up to 9pm on the arrival date. If you wish to arrive any later, you must make prior arrangements with the management. You must guarantee your reservation at the time of booking. You can guarantee your room by giving your credit or debit card details at the time of booking (your card will be pre- authorised for payment to confirm valid details) or paying for your room in full.

Payment may be made by cash or credit/debit card.

For any special offers, you must quote your offer details at the time of making your reservation as to do so after, the offer would not be applicable as amendments cannot be made from the date your reservation was confirmed. We reserve the right to withdraw any offer at any such time and subject to reasonable attempts to contact guests who are holding such offers.

Reservations for rooms are non-transferable and must not, under any circumstances, be sold or otherwise transferred to a third party who is not a member of your group.

Pricing
The accommodation prices quoted when you book are ‘from’ rates and prices are per room per night for Bed and Breakfast, unless you have booked a “special deal”. Price includes service. Prices are valid from 1st March 2015 until further notice. Prices are subject to availability. The 4 star Phildene reserves the right to review its prices from time to time.

Methods of Payment
Payment by credit/debit card or cash must be made in full on arrival.

Bonds
At the discretion of the management bonds may be required prior to booking being accepted or on arrival, this applies to both group and individual bookings.

Cancellation policy
Deposits are non-refundable and full booking charge will apply for all cancellations within 90 days of arrival date. A £25 per person admin charge applies to all cancellations 91 days plus. No shows will incur your card being charged with the full amount of booking.

Cancellations and Amendments
No refunds will be made in the event of early departure. In the event of cancellation or curtailment the person named at the time of booking will be liable to pay the total cost of the reservation less any allowance for food and service. An administration fee of £25 per person may also apply. The outstanding balance may be charged to the debit/credit card that was charged with the initial deposit / Guarantee. If you do not cancel the booking but fail to arrive for the whole or part of any period booked you will still be responsible for the total cost of the booking. This may be charged to the debit/credit card that was charged with the initial deposit or card guarantee.

Deposits are not refundable. We recommend that you arrange holiday insurance in the event of cancellation. For group bookings deposits may not be offset against the total booking cost in the event of partial cancellation as the deposits are per room / person.

If we are forced to cancel the booking for reasons outside of our control we will give you as much notice as possible and reimburse any sums already paid. We will not have any further responsibility to you.

Special Requests
We are happy to assist with any special requests although we stress that special requests cannot be guaranteed.

Smoking Policy (This includes electronic and vaping)
All our rooms are non-smoking and anyone who smokes in a room will be asked to leave and charged a deep cleaning fee of up to £250 plus any loss of income due to the room not being able to be let. This also applies to any public area of the hotel. This may be charged to the debit/credit card that was charged with the initial deposit or card guarantee.

Child policy (Age 18+ only)
For the comfort and convenience of the majority of our guests we are a child free property and do not accommodate children. You may be asked to provide proof of age.

Animals
We do not accept pets under any circumstances.

Meals
Meal times are pre-arranged, and no allowance can be made for meals not taken. Breakfast is served between 09.00am and 10.00am.
Other meals booked are pre-arranged, and no allowance can be made for meals not taken. Dinner is served from 17.00 hours and is subject to an additional charge.
Snacks and bar meals are available during bar opening times and must be paid for when ordered.

Licensed Premises
Only food and drink purchased on the premises to be consumed on the premises.
For health and hygiene reasons no food or drink, other than hospitality trays or bottled water is allowed in the rooms.

Check-In
Rooms are normally available from 2pm on the day of arrival. (Earlier by prior arrangement only) To guarantee access to a room prior to the pre-stated check-in time, the room must be reserved from the night prior. Early check in may be arranged (subject to availability) By Prior arrangement only and an additional fee may apply. Please let us know if you expect to arrive after 09.00pm.

Check-Out
Your room must be vacated by 10.00am on the day of departure. Failure to leave your room by this time will result in additional charges up to and including the cost of one night’s accommodation. This may be charged to the debit/credit card that was charged with the initial deposit or card guarantee.
Late check out may be arranged (subject to availability) By Prior arrangement only and an additional fee may apply.

Guests Property
We cannot accept responsibility of loss of guest’s property unless handed in for safe custody.

Parking
Limited public on street parking is available to our guests. We cannot accept any liability for loss or damage to guest’s vehicles or their contents.

Guest Conduct
The person named at the time of booking will be responsible for the cost of repair or replacement of any hotel property, equipment, or fixtures lost or damaged by themselves or members of their party during their stay. The outstanding balance may be charged to the debit/credit card that was charged with the initial deposit or card guarantee.

The proprietors reserve the right to amend, curtail or terminate any contract should the conduct of any person who is a party to that contract cause any detriment to the well-being or comfort of other guests, staff, management/proprietors or fail to comply with hotel policy. Should such curtailment take place the full booking cost will remain payable, and there will be no refunds.

For the avoidance of any doubt these conditions also apply to all persons that accompany the person named at the time of booking and/or to any persons that the person named overleaf may have booked accommodation on their behalf.

Mixed Groups or Same Sex Bookings
We do not accept mixed groups or same sex bookings. We only cater for couples, singles travelling on business or pleasure. Therefore on agreeing to our terms and conditions on making a booking with us you are confirming that you are a couple or single. If you make a booking and it is accepted, and when you check in it is obvious that you are not a couple single. We will charge your card for the accommodation and ask that you find alternative accommodation. The only exemption to this is if you are a gay couple as we are gay friendly.

We appreciate your business and are keen to learn ways we can improve. The majority of our guests are delighted and come back time and time again. However If you are not happy about any aspect of our service we would like to know. You are encouraged to speak to us directly so we can put this right immediately.
